Detailed Timeline Breakdown

Phase 1: Filing & Certification (Days 1-14)

What Happens:

  • You submit your part of the claim (DE 2501 Part A).
  • Your physician submits the medical certification (Part B). EDD cannot process your claim without Part B.
  • You receive a Claim Receipt Number.

Action Required:

  • Provide your doctor with the Claim Receipt Number immediately — they need it to link Part B to your claim.
  • Verify through SDI Online that your doctor has submitted Part B within 48 hours of their appointment.

Phase 2: Review & Determination (Days 14-28)

What Happens:

  • EDD verifies your base period wages.
  • EDD reviews the medical certification for validity.
  • You may receive a "Notice of Computation" (DE 429D) in the mail, which lists your reported wages and your potential weekly benefit amount. This is not an approval letter.

Potential Issues:

  • EDD may flag your claim for identity verification via ID.me — complete this online immediately if prompted.
  • EDD may request more information about your pilot pay structure (variable monthly earnings confuse the automated system).

Phase 3: Payment (Days 28-35)

What Happens:

  • If approved, your first payment is issued.
  • Waiting Period: You are NOT paid for the first 7 days of your disability.
  • Retroactive Payment: If your disability lasts more than 14 days, the 7-day waiting period is sometimes paid retroactively (depending on current policy).

Payment Method:

  • Default: EDD Debit Card (Bank of America). This is mailed to you automatically.
  • Optional: Direct Deposit. You must enroll for this in your SDI Online account before your first payment is issued.

Long-Term Maintenance

Every 2 Weeks: Continued Certification

You must certify every 14 days that you are still disabled and unable to work flight duty. This is done via SDI Online or by mail using Form DE 2500A. Missing a certification stops payment even if your claim is approved.

Every 1-3 Months: Physician Re-certification

Depending on the duration of your disability, EDD may require your doctor to provide an updated certification (Physician/Practitioner's Supplementary Certificate — DE 2525XX). Your doctor must use their California medical license number on this form.

Hartford LTD benefits typically begin after 180 days. Keep your SDI claim active and documented — Hartford will require proof of your SDI status to calculate your LTD offset.

If Things Take Longer

Signs of a Problem

Contact EDD if:

  • No status change after 3 weeks
  • Status shows "Incomplete" but you haven't received a correspondence explaining what's needed
  • Status shows "Physician Certification Needed" more than 48 hours after your doctor's appointment

Escalation Options

  1. Call EDD (1-800-480-3287) — best at 8:00 AM or mid-week; prepare for 45-90 minute waits
  2. Visit in person — for complex pay disputes or unresolved Incomplete status
  3. Contact your CA Assembly member — they have EDD liaisons who can cut through processing queues
  4. ALPA — union can sometimes assist with escalation

Common Issues

"Pending Medical" Status

Meaning: Waiting for Part B from your doctor.

Solution:

  1. Call your doctor's office and confirm they have your Claim Receipt Number
  2. Verify they are using their California medical license number (not DEA or NPI)
  3. Ask them to fax the completed DE 2501 Part B to EDD and confirm the fax number with EDD first

"Additional Info Required"

Meaning: EDD needs more documentation — for pilots, this is most often a pay structure question.

Solution:

  1. Check online messages for the specific request
  2. Respond within 48-72 hours with the documents requested plus a brief note explaining variable airline pay
  3. See Document Requests for detailed response guidance

No Status Updates

Meaning: Claim may be in queue, or there's an issue not yet surfaced.

Solution:

  1. Wait until at least 14 days after filing before calling
  2. Call EDD for a status update; ask specifically whether Part B is linked and whether any flags exist on your account
  3. Consider an in-person visit if phone produces no resolution after two attempts
